DOD Board Meeting Minutes

1. Public Forum:
• Shawn Litson: Present
• Laurie Sweet: Present
• Willie: Recommend DOD staff a booth at the Lane County Fair. Rolf to sponsor the booth. DOD to
provide insurance. Board approved this option – volunteer list to come out soon. Jeff Green
proposed DOD have a booth at McDonald Theatre's Banff Film Festival next year.
• Adam Steffen: CoE report – Estimate starting construction within a month at Arlie. City Parks
likely to reach out to DOD/bike shops to ask riders to stay out of the area until trail construction
is complete. OMBC – went to international trails summit in Madison, Wisconsin. They did a city
wide singletrack assessment – rode a rails to trails which connected four bike parks – which was
partially funded by an IMBA planning/accelerator grant. Oregon Outdoor Recreation Summit is
coming up Nov. 6-8 in Pendleton. Scholarships available. WeyCo land leasing option – insurance
and upkeep would be higher. Recommend not pursuing the lease as land manager. Board agreed
to not pursue the land lease option.
2. Position reports:
A. Chair (Sean Fitzpatrick): Got both insurance policies renewed. General liability insurance
company only renewed after lots of phone time and the customer service experience was
negative. Chantal to look at our board of directors insurance company to see if they'll also do
general liability. We should shop for another insurance company. Also renewed our business
registry. Gave a blurb to a journalist regarding Arlie Park.
We also had a rider at Whypass that emailed us to let us know about a bridge they fell on
and felt it was dangerous due to narrow width and vegetation hiding the entrance of the
bridge. The bridge was on Can't Be Done. Could do some brushing to make the bridge more
visible.
B. Vice Chair (Austin Larson): June 13th 9am – Mike S and I have meeting with a biologist with
BLM to discuss and consider - Stump connector at Sunset – and Hit Parade – climbing line
reroute. And Burial Ground T's in to Hit Parade which isn't ideal. Also proposing extending
Hit Parade. Jack Hill is working with the Whiteaker bike park planning team. Working on artit
rendering.
C. Treasurer (Chantal Angot): I compiled a comprehensive list of all of our members, their info,
and payment status. 172 Total members. Paypal (31), Stripe (89), plus Square members (56).
Propose moving membership renewals to one platform. Should we be sending out member
cards each year? Membership and Engagement Committee to review.
D. Secretary (Jeff Green): Proposed taking reverse steering bike to MBO but changing the
parameters – like a small fee per three tries.
E. Trail Work (Mike Sheppard): We did a tour of WP last Saturday. Lots of areas need to be
brushed – especially Egress, Can't Be Done, and a bit on Burial Ground. Proposing brushing
day on Saturday May 31st. June 13th 9am BLM/DOD meeting with BLM's Christie Nichol. The
environmental specialist will also be there. No plans to replace our previoius BLM contact.
Eric is excited about how the trails look at Thurston Hills – ready for summer.
F. PR/Marketing (Ben Hansen): We're up to 307 email subscribers. Worked on Baby Steps with
Jack. Farmer's Market May 18th, 1-5pm – Better Transportation for Eugene Springfield block
party thing. Ben to attend. Mail Chimp integration work – Paypal won't sync with Mail Chimp
well without paying or other third party services. Mike S still not getting Google group
emails. Ben sent email to Colin to fix this. I reached out to Cog Wild about a membership
drive – maybe 1⁄2 off first shuttle with new DOD member sign-up. Hoot n Holly is new trail
proposed at Thurston Hills and also the bike park at Oakridge. Zeffy is the fundraising site
we'll likely use due to their lack of fees. For the Oakridge bike skills park – max $10k payout
from City of Oakridge. $5k from DOD would ensure it's ready for the summer. Also, I
attended the State Parks.
G. Rides/Events (Brian Peas): June 5th 4-7pm MBO Oakshire beer release party. Black Rock was a
success. Looking to schedule the next DOD Happy Ride in July – not sure where yet. Taco
Tuesday rides likely to kick off next weekend – every week while weather permits.
